Link Green Bay is committed to protecting the privacy of the individuals and organizations that use our platform. This policy explains what data we collect, how we use it, and what rights you have.
1. What data we collect
We collect the minimum data needed to operate a community nonprofit network. This includes:
Account information
- Name and email address when you create an account
- Password (stored securely using one-way hashing)
- Account role (resident, organization admin, platform admin)
Organization profiles
- Organization name, mission, categories, and service areas
- Contact information (address, phone, email, website)
- Hours of operation and program details
- Images and logos uploaded by verified admins
Community content
- Posts, comments, and replies in community conversations
- Event submissions and spotlight content
- Reports and flags submitted to our moderation team
Technical data
- Browser type, device information, and IP address (collected automatically for security and analytics)
- Pages visited and interactions within the platform
- Error reports and performance data collected by our error monitoring service (Sentry) to help us fix bugs and improve reliability. Form inputs are automatically masked in error replays to protect your privacy.
- Anonymous page performance metrics collected by Vercel Speed Insights to help us monitor and improve site speed
2. How we use your data
We use the data we collect to:
- Operate and improve the nonprofit network and community features
- Display organization profiles publicly on the platform
- Authenticate users and manage account access
- Process organization requests and admin verification
- Moderate community content and enforce our guidelines
- Send important account-related notifications (e.g., request approvals, guideline violations)
- Analyze aggregate usage patterns to improve the platform
3. Data sharing
We do not sell your data. We do not share personal information with advertisers or data brokers.
Organization profiles are public. Information submitted to an organization profile — including name, mission, contact details, and images — is displayed publicly on the platform. This is the core purpose of the platform.
Community content is visible to other users. Posts, comments, and event listings are visible to anyone browsing the platform.
We may share data with service providers who help us operate the platform (e.g., hosting, email delivery) under strict data protection agreements. We may also disclose data if required by law.
3a. Publicly sourced organization data
Some organization profiles on Link Green Bay are initially created using publicly available information from sources including IRS tax-exempt organization filings, state nonprofit registrations, and publicly accessible organization websites. This information is public by nature and is provided as a community resource.
Organization listings sourced from public records contain only organizational data (organization name, mission, address, phone, email, website) — not personal data about individuals. No individual's personal information is published without their consent.
Organizations may claim their profile at any time to take ownership of their listing, update information, or request removal. Removal requests can be submitted by claiming a profile or contacting us at hello@linklocally.org. We honor removal requests within 30 days.
4. Cookies & monitoring
We use minimal, session-based cookies to keep you signed in and to protect against cross-site request forgery. We do not use third-party tracking cookies or advertising pixels.
Error monitoring (Sentry)
We use Sentry to detect and fix errors on the platform. A small percentage of sessions may be recorded for debugging purposes. All form inputs (passwords, personal data) are automatically masked in these recordings to protect your privacy. No session recordings are shared with third parties.
Performance monitoring (Vercel Speed Insights)
We use Vercel Speed Insights to measure page load times and identify performance issues. This service collects anonymous performance metrics and does not track individual users or store personal information.
5. Your rights
You have the right to:
- Access the personal data we hold about you
- Correct inaccurate information in your account or organization profile
- Delete your account and associated personal data (organization profiles may be retained in anonymized form to preserve platform integrity)
- Export your data in a portable format upon request
You can export your data and delete your account directly from your dashboard settings. For other requests, contact us at the email below. We will respond within 30 days.
6. Data retention
We retain account data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where we are required to retain it by law or to maintain the integrity of organization profiles in the platform.
